Minutes of Committee Meetings

Minutes of Annual General Meetings

Roles of Main Committee Members

Below is a brief account of the duties of committee members. This is by no means an exhaustive description of each task but should provide a guideline for those who are interested in knowing what's involved before committing themselves.

 

PRESIDENT              

Figure-head position. Usually chairs the AGM & presents the annual awards. Attends monthly committee meetings.

 

CLUB CAPTAIN

Figure-head position. Attends monthly committee meetings.

 

TREASURER

Ensures annual subscriptions, training fees & match fees are collected (but can delegate these duties).  Keeps account of all club income & expenditure ensuring bills are paid promptly. Keeps committee up-to-date with the state of the club finances. Attends monthly committee meetings. Presents summary of annual accounts at AGM.

 

CLUB SECRETARY

Attains & records player names & contact information to facilitate registration. Keeps club records for historical purposes including attendance at training & details of matches & results. Handles all correspondence as required. Draws up agenda for committee meetings & keeps members informed of dates & times of meetings & other club information. Relays UWHU information to rest of club. Attends monthly committee meetings & takes minutes. Organises the AGM (booking venue, agenda, collecting in & engraving trophies, informing members) & takes minutes. Oversees the general day-to-day running & flow of information within the club.

 

MATCH SECRETARY

Ensures all players are registered & re-registered correctly in line with the rules of the UWHU. Liaises with opposition match secretaries to receive match times & venues for away matches & provides them with the same for home matches. Provides captains with details of match times & venues for both home & away fixtures. Ensures home pitch is checked on Saturday mornings & informs opposition Match Secretary in good time if unplayable. Ensures teams have an umpire for each game. Receives team lists from captains following Saturday matches & keeps these on file as well as passing results & team lists on to UWHU Match Secretary as per rules of competition (currently if winning team or home draw). Ensures results are provided for UWHU website & own club website. Attends monthly committee meetings.

 

SOCIAL SECRETARY

Responsible for organising club social activities and nights out e.g. Christmas Dinner. Provides information on such events to members and ensures details are available for website. Attends monthly committee meetings.

 

FUND-RAISING SECRETARY

Responsible for organising the club fund-raising events delegating tasks to other committee members as required. Ensures information is distributed to all members and available for website. Collects monies relating to fund-raising and passes these on to club treasurer. Attends monthly committee meetings.

 

TEAM CAPTAIN

Organises the team for each fixture. Relays details of time & venue for each match to players, coach & umpire. Ensures the team has enough bodies to honour each fixture. Is responsible for the conduct of her own players, coach and spectators at each game. Ensures oranges are available for half-time at home matches. Provides the opposition with a team list at each match. Collects opposition’s team list at matches & passes it to the Match Secretary within the required time constraints. Takes toss, chooses end or selects pass-back etc. at start of games. Attends monthly committee meetings.

NOTE: A UWHU rule change will be implemented from this September - Both teams will pass a team list to each umpire at the start of each match. Only players on this list can play in the game. Any substitutes listed who don’t actually play must be removed from the list at the end of the game. The four lists have the score noted on them at the end of the game & are signed by both umpires & returned one to each team captain. So each captain should have copy of their own team list & that of the opposition after each game.

 

TEAM VICE CAPTAIN

The vice captain helps the captain as required and takes on the captains roll in her absence. Attends monthly committee meetings.

 

CHILD LIAISON OFFICER

The child liaison officer is responsible for the club’s treatment of younger members, They monitor this and ensure it is above reproach & within the law. They receive information from the UWHU regarding their child protection policies & ensure the club puts these into practise so neither a child nor an adult is put in a situation where they are at risk.
